NDIS Plan Management Comparison: 2026 Software Guide

NDIS Plan Management Comparison

An NDIS plan management comparison usually starts with one of two questions. Participants want to know how plan management differs from self-management and NDIA-managed funding. Plan managers want an NDIS compliance software comparison that shows which platform will process invoices, claim and report with the least manual work.

This guide covers both.

We start with the three ways to manage NDIS funding, then move into an NDIS software comparison of plan management platforms available in Australia.

NDIS Plan Management Software Comparison at a Glance

In this NDIS software comparison, all three platforms are built for NDIS plan managers. The biggest differences are pricing model, free trial access and what’s included as standard. Remember to check with each provider for current features and pricing before you decide.

The Three Ways to Manage NDIS Funding

Every participant’s NDIS funding is self-managed, plan-managed, Agency-managed, or a mix of these. The option decides who pays providers, who keeps the records and which providers a participant can use. The NDIS explains each one in its guide to management options.

Registered providers?YesYesYes
Unregistered providers?Yes, with some exceptionsYes, with some exceptionsNo

The exceptions matter. From 1 July 2026, Supported Independent Living (SIL) providers and NDIS digital platform providers must be registered with the NDIS Commission, no matter how a participant’s funding is managed.

Plan management gives participants choice of providers while a plan manager handles invoices, payments and records. For plan managers, the software behind that work shapes how fast providers get paid and how clearly participants can see their budgets.

Frequently Asked Questions

What is the difference between plan-managed and self-managed NDIS funding?

With self-managed funding, the participant or their representative pays providers and keeps the records. With plan-managed funding, a registered plan manager does this for them. Both options let participants use most unregistered providers.

Can plan-managed participants use unregistered providers?

Yes, for most supports. From 1 July 2026, Supported Independent Living (SIL) and NDIS digital platform providers must be registered, whoever manages the funding.

What is the difference between a plan manager and plan management software?

A plan manager is a registered provider that manages NDIS funding for participants. Plan management software is the system the plan manager uses to process invoices, claim, pay providers and track budgets. Careview makes software for plan managers. It does not offer plan management itself.

How much does NDIS plan management software cost?

It depends on the pricing model. Careview charges a monthly fee by number of active clients, from $130 a month for up to 50. Caresquare charges $1 per invoice or $7 per participant. Entiprius does not publish its pricing.

Does Careview offer a free trial?

Yes. Careview offers a 2-week free trial and a one-hour demo over Zoom or Microsoft Teams.

How long does it take to switch to Careview?

Onboarding usually takes 1 to 3 weeks, depending on the size of your organisation. An implementation specialist trains your team and is your main contact.
